Launch Checklist

Everything to verify before sharing your Highbar app with attendees.

Run through this list before you share your event app. A few minutes of checking now saves a lot of support emails later.

Event basics

  • Event name, dates, and location are correct
  • Event description is clear and accurate (this feeds the AI)
  • Time zone is set correctly

Schedule

  • All sessions are added with correct times and dates
  • Session descriptions are complete (more detail means better AI answers)
  • Tracks and categories are set
  • Sessions are linked to the correct speakers
  • Sessions are linked to the correct rooms or locations

Speakers

  • All speakers are added with names, titles, and companies
  • Speaker bios are present (even a short one is better than none)
  • Speaker photos are uploaded
  • Each speaker is linked to their sessions

Sponsors

  • All sponsors are added with logos and descriptions
  • Sponsor CTAs are configured (links, meeting booking, etc.)
  • Sponsor tiers are set if you're using tiered sponsorship

Branding

  • Primary brand color is set
  • Logo is uploaded for the header and app icon
  • Live Preview looks correct on mobile

AI configuration

  • Custom welcome message is set
  • Custom instructions include any logistics info the AI needs (parking, WiFi, dress code, registration desk location)
  • Built-in Prompts are configured with the most common attendee questions
  • You've tested the AI with at least 5 real questions attendees would ask

Attendee access

  • Attendee list is imported (if using the attendee directory or networking agent)
  • The direct link works when you open it on your phone
  • The QR code scans correctly
  • You've tested the full attendee flow: join, ask a question, browse the schedule, find a speaker

Integrations

  • HubSpot is connected if you're using it for lead capture
  • Any CSV data has been imported and looks correct

Distribution

  • The app link is included in your registration confirmation email
  • The QR code is included in your pre-event reminder emails
  • The QR code is sized correctly for print (if using at the venue)
